Terms and Conditions

GEP requires a 50% deposit upon booking of any trip. GEP does not start work until a Service Contract has been signed between a representative from GEP and the contracting organization and the deposit has been received. The deposit is refundable only in the case that the group is denied Travel Visas by either the US Embassy or a Foreign Embassy; proof of denied travel request must be produced and provided to GEP to receive refund. Remaining funds are to be paid no more then 6 weeks before scheduled service.

An organization must contract with GEP at least 6 weeks before arrival of a GEP Inbound trip and at least 4 months prior to a GEP Outbound trip or a 20% service charge will be applied. Proposals are valid for a maximum of 30 days from time of proposal submission.

GEP guarantees industry specific company visits only and does not guarantee specific company visits based on the nature of the Professional Study Tour™ industry. In the case of a company visit cancellation within 21 days of the scheduled visit, GEP will make it’s best effort to replace that company visit but if can not, will replace the time slot with a cultural visit. If a cancellation occurs, regardless of when the visit is cancelled, after the departure of the trip; GEP will replace that time slot with a cultural site visit only. In either case, no funds shall be credited back to the contracting organization as these factors are outside the control of GEP and is an extremely rare occurrence. Some visits may or may not include a tour and some visits may or may not include a briefing depending on the company.

The parties hereto agree and understand that all charges for the trip; including the deposit required above, are based upon current world-wide monetary markets at the time of contracting, whether charges are to be made in U.S. Dollars or foreign currency. GEP reserves the right to increase/decrease the charges based upon fluctuations in the world-wide money markets at GEP’s option, not to exceed a differential of ten percent (10%), and GEP agrees that any such change in charges shall not be unreasonable.

Modifications: Modifications to the program are possible by Contracting Authority. GEP reserves the right to charge an additional handling fee for short-term modifications up to 30 days before the first day of the program if they are demined unreasonable or outside the terms of a normal Professional Study Tour™. Modifications have to be made in writing and must be confirmed by GEP.

Liability: GEP is not responsible for personal injury, accident or illness or the loss, damage or theft of luggage or other personal belongings. Further no responsibility is accepted for any damage or delay due to machinery breakdown, quarantine, government restraints, declared or undeclared war or insurrection, terrorist activity, revolt or other civil disturbance/hostility, military action, strikes or labor unrest, weather, or other causes beyond its control. Each participant is required to sign and return a release of liability waiver no later than two weeks prior to departure. Further, GEP is not responsible for any acts of the attendees or their agents or officers, while on tour with GEP, although GEP will use its best efforts to provide attendees proper representation when necessary.

Travel documents: Each participant is required to possess a valid passport for travel to the program destination(s). Participants are also encouraged to contact the appropriate consulates regarding individual visa requirements which may apply while travelling in a foreign country. GEP does not assume responsibility for obtaining passports, nor responsibility if participants do not acquire the required documentation and must cancel participation in the programs as a result or if, while on tour, attendees misplace, lose or otherwise have their passports and/or travel documents confiscated by authorities for whatever reason, including, but not limited to, the negligence or intentional acts of attendees.

Ineffectualness of single provisions: The ineffectualness of single provisions does not justify the travel program as such becoming ineffective not justify cancellation of the travel program as such.
